Why does one chatbot thrive and another get switched off?

The pattern repeats often enough to describe. The switched-off chatbot answered from a menu, knew nothing about live stock or the calendar, greeted Arabic customers in English, and every change meant an evening in a dashboard nobody enjoyed opening. Customers learned to type "agent" immediately, which made the bot a toll booth in front of the humans. The one that thrived did the opposite of all four. Which outcome you get is mostly decided by which of the two options below you choose, and for which job.

The two options, honestly described

A chatbot platform is a subscription product. You sign up, connect your number, and build the conversation flows yourself: the menus, the answers, the rules. The monthly fee is modest, the tooling is real, and everything that happens next is your responsibility.

A custom-built assistant is a service. A firm studies your business, trains the assistant on your prices and policies, connects it to your calendar, stock, and customer records, and stays responsible for it after launch. It costs more upfront, and less in your team's attention forever after.

When the platform is the right call

If chat is a side channel for you, your questions are genuinely simple and repetitive, and someone on your team enjoys maintaining flows, buy the platform. A simple FAQ bot does not need a firm, and a firm that says otherwise is selling, not advising.

When custom-built wins

When the channel carries revenue. If customers book, order, and pay through WhatsApp or your site, the assistant is infrastructure, and infrastructure built on your own systems by people who stay responsible for it behaves differently from a flow you configured in a dashboard. The honest test: if the number went silent for a day, would it cost you money? If yes, treat it accordingly.
