/ Home / Blog / When your freight forwarder makes a paperwork mistake

Your forwarder is good. They are also human, and busy.

If you already work with a freight forwarder or customs broker, the idea of adding AI to your shipping paperwork can sound redundant, is that not what you are already paying them for. It is a fair question, and the honest answer is that the two do different jobs, and one does not replace the need for the other.

What a good forwarder actually does

A freight forwarder or customs broker manages the relationships, bookings, and submissions that make a shipment move: carrier capacity, customs filing, the actual physical movement of goods through ports and borders. That expertise and those relationships are not something software replaces, and a good forwarder is genuinely valuable for exactly that reason. What a forwarder is not always positioned to do is sit and cross-check every field on every document for every client, every time, with the same attention on the hundredth shipment as the first.

Where mismatches actually come from

Not usually from the forwarder alone. A shipment file is assembled from documents produced by several parties, your own team, the shipper on the other end, sometimes a manufacturer or a separate logistics partner, before it ever reaches your forwarder. A carton count typed once by a shipper's clerk and once by your own team, from the same physical count, can still come out different by a small number. The forwarder inherits whatever mismatch already exists in the documents they receive, and busy as they are, that is exactly the kind of thing that is easy to miss under normal workload.

What an added check changes

It gives you your own independent visibility into the documents before or as they move through your forwarder, rather than relying entirely on their process to catch everything. If a mismatch surfaces, you know about it early, and the conversation with your forwarder about correcting it happens before submission instead of after a customs query. Nothing about your forwarder relationship changes. You are not replacing their work, you are adding a second set of eyes that never gets tired on the hundredth shipment of the week.

Why this is worth having even with a good forwarder

Because the cost of a missed mismatch does not fall on the forwarder, it falls on you, in the form of a delayed shipment, a demurrage bill, or a customer waiting longer than promised. A good forwarder reduces how often this happens. It does not reduce it to zero, because no manual process run by busy people ever does. An independent check on your side is not a vote of no confidence in your forwarder, it is closing a gap that exists in every process involving several people and several documents, regardless of how good any one of them is.

Questions we get asked

Does this mean my freight forwarder is not doing their job properly?

No. Forwarders and brokers handle a high volume of shipments for many clients, often under time pressure, and clerical mismatches happen in any process that involves several people preparing related documents by hand. An extra automated check catches what a busy, competent process still occasionally misses. It is not a comment on anyone's competence.

Who does the AI check actually work for, us or the forwarder?

You. It sits on your side of the relationship, checking the documents before or as they move through your forwarder, so you have your own visibility rather than relying entirely on someone else's process. Your forwarder relationship continues exactly as it is, this simply gives you an independent check alongside it.

Will my forwarder need to change how they work with us?

Not necessarily. In most setups, documents are checked as they pass through your own inbox, WhatsApp, or systems, without requiring your forwarder to adopt anything new. If a flag comes up, the correction conversation with your forwarder looks the same as it always has, just earlier and with the specific issue already identified.
